BANQUET POLICIES Member Events All member events requesting to bill event charges to their active membership account must be a “member in good standing” of the Bloomfield Open Hunt Club. All members have the ability to pay by cash, check or credit card if desired. All member events are required to have a signed contract and must adhere to all cancellation policies stated below. Parties of over $5000.00 in expected revenues must have a deposit on file and final payment will be due no later that 14 days after the conclusion of the event. Booking Procedures and Guarantees To insure the accurate communication of information, you will work with one person while planning your event. Menu and party details must be confirmed no later than seven (7) days in advance with a projected number of guests at that time. Final guaranteed counts are due 72 hours prior to your event. If a guaranteed count is not received, the Bloomfield Open Hunt reserves the right to consider the original attendance figure as the final count. If the event's attendance falls below the guaranteed count, the host will be charged for the guaranteed amount. In the event that a function is cancelled within 90 days of the confirmed date, you will be charged 20% of the agreed food and beverage revenue estimate and/or the quoted Food and Beverage minimum(whichever is greater). If the event is cancelled within 45 days of the scheduled event date, you will be charged 50% of the agreed food and beverage revenue estimate and/or the quoted Food and beverage minimum (whichever is greater). If the event is cancelled within 21 days of the scheduled event date, you will be charged 100% of the agreed food and beverage revenue estimate and/or the quoted Food and beverage minimum. (whichever is greater). Additional Fees Michigan State Sales Tax of 6% and a gratuity of 20% will be added to all food and beverage items. Menu Selection In order to service you and your guests efficiently, the following guidelines have been established: For events of 12 to 25 guests, a limited menu with a choice of three (3) items off of the ala carte menu is acceptable. For parties of 25 to 75, an option of (3) selections is permitted as long as the selections are pre-ordered seven (7) days in advance and place cards are provided denoting individual selections. For groups larger than 75, we suggest a single entrée be chosen for the entire function. All special dietary concerns or requests will be honored to the best of our ability, however, substitutions will not be included in the original guarantee, and will be charged accordingly. Dress Code Business casual (no jeans) is required for guests at all private events held at Bloomfield Open Hunt. Please inform your guests of this policy. Special arrangements for other dress must be made in advance with approval of the General Manager. No smoking or beverage consumption is permitted in front of the Clubhouse. Smoking is permitted in designated areas only. Coat Room and Valet Services Coat Room services are available – There is an additional charge of $65.00 per attendant. These services are mandatory for parties over 50 guests during the months of November, December, January and February, so that we can provide your guests with quality service. Valet services are mandatory for all parties of 50 or more being held on a Friday or Saturday evening, and all parties of 100 persons or more Thursday through Sunday. Valet charges are quoted on an individual basis, and a quote will be provided to you within 24 hours of booking the event. Food and Beverage Restrictions All Federal, State and Local laws regarding Food and Beverage will be followed. All Food and Beverage must be purchased through Bloomfield Open Hunt – No food or beverages of any kind may be brought into the Club by members, guests, or non-member sponsored events. All alcoholic beverages must be consumed within the Clubhouse: Open containers or glasses of such beverages may not be taken out of the Clubhouse. Pricing All quotations, verbal or written, are subject to change due to fluctuation in food costs of increased cost of operation. Confirmed prices will be given thirty (30) days in advance of event. Decorations The Club does not allow affixing of anything to the walls, floors, furnishings or ceilings of rooms with nails, tape or staples. The party host/hostess assumes all responsibility for damages caused within the sponsored event. The customer agrees to indemnify and hold the Club harmless from and against any and all losses, claims, damages, liabilities to which the Club may become subject as a result of this agreement or any default hereunder. Bloomfield Open Hunt does not have space to store personal property, equipment or supplies belonging to or rented by the event host. All such items must be moved by the end of the event. The Club will not assume responsibility for damage to or loss of personal articles or rented equipment left in the Club prior to, during or after an event. Non-Performance Bloomfield Open Hunt shall not be responsible for non-performance of the contract when such non-performance is attributable to labor issues, disputes or strikes, accidents, government regulations and/or restrictions upon travel or transportation or other acts of God which are beyond the reasonable control of the Club and preventing and interfering with the Club’s performance of obligations under the contract.
